At Scallywags Nursery we are committed to protecting and respecting your privacy.

The purpose of this policy is to explain when and why we collect personal information, how we use the collected information, when we may disclose the information and how we keep it secure.

How do we collect information from you?

When using our website to contact us we will be obtaining your email address. This will not be shared with any other agencies or sources at this time. We will only use it to respond to your inquiry.

If you decide to secure a place at Scallywags Nursery for your family, we will need to collect more detailed information about your family and your child. This will be collected through a registration pack, parent contract and during face to face settling in sessions.

What type of information do we collect?

From both our staff, students and families we are required to collect the following information:

  • Full names and date of birth

  • Education history

  • Birth certificates

  • National insurance numbers/Asylum seeker number

  • Home addresses, email address and contact numbers

  • Medical history

How is your information used?

We may use information collected to:

  • Allocate funding from the local authority

  • Process both two year and three-year funding (universal and extended)

  • To carry out our obligations arising from any complaint made such as sharing the nature of the complaint with Ofsted

  • Share with emergency services in the event of an emergency arising

  • Process a job application

  • Seek your views and comments on the service we provide

  • Notify you of upcoming events or changes to our services

  • Send you communications that you have requested such as invoices, newsletters, updated policies or procedures

  • In the event that a safeguarding concern is raised and we need to seek support from the Family Hub or LADO.

Right to object

Your have the right to object to share certain information with Scallywags Nursery. If you do decide to object this may result in specific services being diminished or made unavailable for your families use. If you are unsure about why certain information is being asked for please ask a member of the management team who will explain the need for this and how it will be used.

How long is your information kept for and how is it stored?

Registration packs including accidents forms are kept until the time when the child reaches the age of 25 and 1 month.

Staff files will be retained for 3 years plus the current tax year.

All information will be scanned in and stored on encrypted memory sticks that are stored in a locked safe to ensure your security.

Security of your information

Non-sensitive details such as your email address and name are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us when contacting us via the Internet, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on company systems.

Right to be informed

Your information will not be sold to any parties and will not be shared for marketing purposes. All current information is stored in the office on the premises and is only accessible by the management team. We may need to pass personal information onto Ofsted our governing body, child protection services, emergency services, HMRC, pension provider and the local authority for training and funding purposes.

Right to access and rectify your personal information

You have the right to have access to the information we hold on you or your family. If you wish to view the stored information, please contact a member of the management team. Scallywags nursery periodically sends out update forms to ensure we are holding the correct information. If any of your personal information changes please contact us and we update your information accordingly.

Right to portability

You have the right to data portability which allows all individuals to obtain and reuse their own personal information for their own purposes across different services.

Right to restrict processing

Families and staff have the right to request the restriction of their personal information. This request is not a right and may be refused in some circumstances. If it is agreed to restrict processing of your personal information Scallywags Nursery is permitted to store your personal information but will not use it. If you wish to make a request for restriction this can be done verbally or in writing to a member of the management team. Scallywags Nursery has one calendar month to respond to your request.

Right to erasure

You have the right to object to Scallywags nursery holding your personal information. If you decide that you wish for your records to be erased we will delete all information outside of our legal compliance pack. All information that legally needs to be held in line with legal compliance will be stored on an encrypted memory stick within a secure safe. If this was the case Scallywags Nursery would no longer be able to offer a nursery place to your family.

We may update and change this policy as and when required so please check this page occasionally to ensure you are aware of the changes made and that you are happy of these.
